Events Assistant

Fixed-term contract, January – late June 2019
Full-time, 5 days per week
£18k (pro-rata)

One World Media is a non-profit committed to excellence in media coverage of the wider world. We believe the best media highlights our common humanity, breaks down prejudices and enables new voices to be heard.

We are currently seeking an Events Assistant to help with the coordination of our annual flagship event, the One World Media Awards, held annually at BAFTA. The successful candidate will also assist with the coordination of our busy programme of public and industry events, including the Global Short Docs Forum.

This is an excellent opportunity for a professional looking to grow their experience in events coordination, research and administration – and to further their knowledge of the UK and international media industry. The role would suit a candidate looking to progress their career in events production for a non-profit. Previous Events Assistants have moved onto exciting roles at organisations including Sound & Music and Arete.


Job Description

The role will involve working on the following areas:


  • Processing Awards entries and payments
  • Managing queries, ticket sales and bookings
  • Marketing the call for entries and tickets
  • Assisting with preparation of digital and hard copy publicity materials
  • Working with Comms Officer to manage Awards social media and website
  • Assisting with judging process
  • Liaising with sponsors, judges, entrants and attendees
  • Coordinating nominee materials
  • Assisting with coordination of the Awards ceremony
  • Supervising volunteers

Global Short Docs Forum

  • Assisting with pre-production of the Forum
  • Researching and booking travel arrangements for international participants
  • Assisting with preparation of digital and printed materials
  • Liaising with attendees in the lead up to the Forum


  • Assisting with coordination of educational workshops, panel discussions and other events throughout the year, including managing ticket sales and on-the-day technical and hospitality support

Office administration and fundraising

  • Fundraising assistance (ie. research, identifying new targets)
  • Updating and managing mailing lists and databases
  • General administration and office management tasks


Person Specification

1) Essential Criteria

  • Experience in event coordination
  • Excellent computer skills, including Excel, Outlook and Photoshop
  • Ability to manage multiple tasks at once and deal with problems quickly and effectively
  • Strong attention to detail and highly organised
  • Ability to interact with a wide range of people confidently
  • Ability to work well as part of a small team
  • An interest in media and current affairs
  • An interest in the developing world and international issues
  • Flexibility regarding occasional early morning and evening working for events

2) Desirable Criteria

  • Photography and filming skills
  • Experience in updating websites (WordPress)
  • Experience in fundraising
  • Experience in or knowledge of the media industry
